We value your interest in the Peabody Hotel Group ("PHG") and our hotels. We understand the importance of privacy to you. So that you understand our practices and policies, and your many options, we have prepared this Internet Privacy Policy to explain what types of information we may gather about you when you visit our family of hotels' web sites or elect to register for certain optional features, how we may use that information, and the safeguards we have in place to protect your personally identifiable information.

This Internet Privacy Policy applies when you visit or use peabodyhotelgroup.com, peabodyhotels.com, peabodymemphis.com, https://phg.ats.hrsmart.com/cgi-bin/a/searchjobs_quick.cgi (collectively referred to in this statement as "our web sites"). It does not apply to the sites of our corporate parent, Belz Enterprises, or to information that may be collected on PHG franchised hotels' individual web sites. (The franchised hotels, which are listed on peabodyhotelsgroup.com, are owned or managed by the Peabody Hotel Group, but do business under other well-known hotel brand names.) Nor does it apply to information that may be collected on The Peabody Galleria online catalog site, thepeabody-hotelsathome.com, information that may be collected from OpenTable when making online restaurant reservations, or on other external web sites that may be linked to our web sites (see "Links" section below).

We gather visitor information for the purpose of providing a better web site experience, better service, responses to your inquiries and other communications, and to administer our business. We try to balance our respect for your privacy with our desire to offer you the online experience that meets your needs. Accordingly, we gather some aggregate, anonymous information from all visitors, then give you the opportunity to create your customized online experience, by selecting what personal information (also referred to as "personally identifiable information" or "PII") you choose to share to achieve your needs. We also allow you to review and revise your personal information and preferences at any time.

Categories of information we collect and how we use it

You do not need to provide any personal information to browse the Peabody Hotel Group web site or any particular PHG hotel web site. You can even check on the availability of rooms and standard rates for our hotels without providing any personal information. We may gather some anonymous information about your visit, such as the pages you visited, your navigation, and your browser type. This information does not identify you, your e-mail address or any other personal information, unless you previously have identified yourself by registering for or using certain interactive features of our sites or you access our web site from a link in an email we sent you. We may share this anonymous information with third parties in appropriate circumstances.

Individual inquiries and other contacts

Information Collected and Stored Automatically. When you browse our web sites, you and your web browser may transmit information that we automatically collect. We do log your IP address (the Internet address of your computer), the web pages you visit and the time of your visit, and other click-stream data. The only other type of information automatically provided to us is the type of computer, operating system and browser you are using. This information is provided by your browser, which we use to improve the performance of our site. PHG will also collect aggregated anonymous information about your transfer through our web sites.

Email Signup. If you are on a particular PHG hotel web site (e.g., www.thepeabodymemphis.com) and submit your email address to learn about our exclusive offers, your e-mail address will be included in our marketing database. We will use your email address to send you the information detailed in the Reservation requests and registration section below.

Contact Us and Request for Proposal Web Form E-mails. When you contact us by using an e-mail form from our web site, we automatically receive your e-mail address with your message. We do not know your name or other information unless you provide that to us. We will need to know how you wish to be contacted, certain contact information and details about your plans and the services or information you seek in order to respond your requests. You may submit a request for proposal for your business or personal event online through the form available under the Meetings and Banquets heading on any of the Peabody Hotel sites. Alternatively you may use the "Contact Us" link on any of the Peabody Hotel sites or on peabodyhotelgroup.com. While we will treat this information as confidential, please be aware that the information you provide on email forms is transmitted to us over the internet and is not encrypted. If you would like to discuss your upcoming event by telephone or request we contact you instead, please call the Peabody Hotel under consideration directly, using the number on its web site. We use the personal information you provide in these email forms only to process, fulfill and respond to your request. We keep your information on file as a record of your inquiry only; we do not combine it with other information we may receive about you or use it for any other purpose.

Reservation requests and registration

To inquire online about reservations, amenities or services available from any of our hotels, you must click on a link for that particular hotel, whereupon you will be transferred to its web site. In this situation, only the particular hotel (and its contract providers, if any) will receive the information you submit to that particular hotel's web site. PHG may, however, collect information about your passage to that web site. If you have not signed in to our web site during this session, the tracking information we receive will remain anonymous.

You may inquire about availability of room(s) on particular dates without submitting any personal information. If you wish to make hotel reservations online, however, you must register with our web sites. To register, you will need to provide your contact information (name, email address, postal address and, preferably, phone numbers), your preferences for accommodations, and financial information (credit card type, number, expiration date, and billing address, etc.). We will use the personal information you provide us to select and reserve your accommodations and to process and bill you in accordance with our terms. We will also use your email address to:
  • send you pre-arrival messages confirming your reservation and providing other information about the hotel, the area, events, etc.;
  • manage any change in your reservations;
  • follow-up on your stay with us, send you copies of your hotel bills when requested, or provide other requested information or responses;
  • notify you of special events and offers; and
  • send you our newslette
When registering, you will consent to receive the foregoing types of communications. You can manage your profile using your registration ID and password and opt out of receiving future email marketing messages from us by using the unsubscribe link that is included in each email. Please be aware, however, that if you wish to delete your registration information, you must contact our web site manager, at webmaster@peabodyhotelgroup.com.

You may inquire about availability of restaurant reservations on particular dates without submitting any personal information. If you wish to make a restaurant reservation online, you must provide your contact information, namely, your name, phone number and email address. This information will be provided to OpenTable, Inc. Your use of the OpenTable reservation system is governed by the OpenTable User Agreement and Privacy Policy. Your information will not be shared with PHG unless you request to receive special event email from the restaurant. In the event that you request to receive restaurant special event email, PHG will receive your personal information and notify you of special events and offers. To opt out of receiving future email marketing messages from us, you must reply to a restaurant email message and type "UNSUBSCRIBE" in the subject line of the email.

Our PEPRS Frequent Guest Program. The Peabody Hotels' frequent guest program, the Peabody Executive Priority Reservations Service, "PEPRS," offers members special privileges, discounts, services and upgrade opportunities to members. If you meet the current qualifications for enrolling in the Peabody Hotels' frequent guest program, you may enroll in our PEPRS program online. When you enroll, we will ask you to provide your name and other contact information as well as your birth date and preferred methods of communication. You will also be asked a number of survey questions relating to your anticipated visits, preferences and past experiences with our hotels; providing this information is optional. We will collect information about PEPRS members annual usage for administration of this program. We will use your email address to send you information about the PEPRS program.

Employment inquiries and applying for jobs

Our secure Careers site, which is administered and hosted on our behalf by a third-party contractor using proprietary software and tools, allows us to collect information from people who want to be considered for employment with the Peabody Hotel Group and its various hotels. If you register and apply online for employment with us through our "Careers" (Employment) web site, we will collect the information about you that you provide for that purpose. Your information, which you will input when you register and update using your User ID and password, will be shared within the Peabody Hotels Group according to your indicated location(s) for positions that may match your skills and interests. We use the personal information you provide to us only for the purpose of assessing your qualifications and eligibility for various employment opportunities that may arise within the Peabody Hotel Group and its various hotels. All information you submit through this site is encrypted, and will be treated confidentially. Our employment site host is not permitted to use the PII it collects for any purpose other than collecting and protecting it on PHG's behalf. You may delete your information at any time by contacting webmaster@peabodyhotelgroup.com.

Links

This policy applies to, and only to the online information collection practices of the PHG web sites. Our web sites may include links to other web sites maintained by third parties whose privacy practices may differ from ours. When you go to linked web sites, please check those sites' privacy policies, as Peabody Hotel Group and its affiliates cannot control or ensure the data collection practices or content of any external web sites to which this site may refer you.

How we respect your privacy and protect your information

As described above, we collect information about your web site visit primarily to fulfill your requests -- for reservations, for quotes, for online catalog products, or to explore employment opportunities. We may share some personal information among the members of the Peabody Hotel Group, including owners and operators of PHG franchised hotels. We may share some personal information with service providers who assist us in operating our web sites or conducting our business. We may disclose information about you if and when we believe it is necessary to comply with any law, rule, court order, or subpoena, or to enforce our legal rights or the rules of this web site, or to protect our business, property and operations. From time to time we may partner with other companies in providing co-branded (co-sponsored) promotions or products. If such a promotion is hosted on our web site(s), we will not share your information with the co-sponsor without your express permission. We limit access to the personally identifiable information to employees, contractors and licensees who need access to carry out their responsibilities for PHG, such as the contractors hosting our Careers web site.

On occasion we may send you communications regarding upcoming events, new features, services, and special offers we think you will find valuable. We typically use third party email service providers, who are contractually prohibited from using your email address for any other purpose than to send emails. You may unsubscribe from any further marketing emails from us (other than transactional ones relating to your reservations, account, etc.). With the exception of restaurant marketing messages, you may do so by clicking on the UNSUBSCRIBE link provided in each such email message. If you have requested to receive restaurant specific information, you must respond to the email you receive, stating UNSUBSCRIBE in the subject to unsubscribe from future restaurant email marketing messages. Except as described in this Privacy Policy or may be required by law, we do not sell, trade, rent or share your personal information to/with others. To change or update your contact information, you may call us at the number listed on the web site or send us an email via the "Contact Us" form. If you have created a user profile when making a reservation, you may update your personal information in your profile as well.

We maintain practices and procedures designed to safeguard the security, integrity and confidentiality of personal information collected through our web site. As noted above, we do not use or blend the information from emails we may receive from you with any records maintained by the company or third parties. We have in place a firewall to protect the e-mail server to which all personal information is delivered. We educate our employees about the importance of safeguarding personal information and preventing unauthorized access, disclosure and use.

Finally, please be aware that we will not, ever, send you an email asking for your credit card information, social security number, user name, password or similar sensitive personal information. Should you receive a message that asks for such information, treat is as a "phishing" or fraudulent email, and do not respond.

Changes in Ownership. If Peabody Hotel Group, or any individual hotel, merges with or is acquired by another legal entity, your personal information may be transferred to that legal entity.

Minors

While we welcome children at The Peabody Hotels, our web site is not intended for minors, and we will not knowingly collect any personal information from minors. Should a parent or guardian learn that his/her child has provided us with personal data without their consent, the parent or guardian may contact us to have this information removed and to unsubscribe the minor from any future PHG marketing communications.
